Background

Art Sheffield (formerly Sheffield Contemporary Art Forum) was established in 1999 to further the presence and awareness of contemporary art in Sheffield through joint programming, audience development and profile raising activities. Art Sheffield is a consortium of contemporary visual arts organisations in Sheffield including, Museums Sheffield, Site Gallery, S1 Artspace, Bloc Projects, Yorkshire Artspace and Sheffield Hallam University.

Over the past 13 years, the organisation has delivered four Art Sheffield Festivals and a series of international pavilion projects promoting the work of Sheffield based artists, which have connected audiences and contemporary arts activity in the city, including the Art in Sheffield website, and recently the Art in Sheffield app. Please refer to our website www.artsheffield.org for more information about previous projects.

Art Sheffield has three key aims:

  • To develop Sheffield regionally, nationally and internationally as a centre for contemporary art.
  • To build and develop audiences for contemporary art.
  • To create direct and indirect opportunities for the professional development of artists and curators.

We are currently planning the next Art Sheffield Festival to take place from October - December 2013 and are seeking a Festival Producer to help deliver and manage the realisation of the festival across the city.

Summary of role

The Festival Producer is a key role in the development and delivery of the Art Sheffield Festival. They will work closely with the Art Sheffield consortium, the curatorial, marketing and advisory committees, as well as all partner venues to contribute to the development and delivery of an outstanding citywide festival.

Working with: Art Sheffield Festival, Marketing and Advisory Committees as well as all partner venues.

The Festival Producer will predominantly be required to work from their own premises, therefore access to a computer is essential, however they will be expected to prepare for and attend all meetings related to the festival, meet key stakeholders, partner venues and artists as necessary to ensure the effective development and delivery of the festival. They will also be required to have regular meetings with the Curatorial Committee and Chair of Art Sheffield to report back on progress.

Some evening and weekend work will be essential during the lead up to and during the festival - this has been factored into the fee - therefore specific days during the week / month will need to remain flexible to respond to the needs of the festival as and when necessary.

Job Description

  • To work with the festival, marketing & advisory committees to plan and deliver an exciting and relevant programme of events as part of the festival, including a programme of talks in the lead up to the opening of the festival and a programme of talks and tours during the festival.
  • To liaise directly with artists and galleries, including managing contracts, travel, payments, and to ensure clear and effective communication between all artists and exhibiting venues.
  • Ensure the effective forward planning and installation of all exhibitions for the festival. To recruit and manage additional technical staff where necessary and ensure the appropriate levels of support are in place to deliver the various elements of the festival.
  • To work with the marketing committee to contribute to the development and delivery of the marketing and digital strategy, all interpretive and promotional material, print distribution - including commissioning material and securing permissions for promotional material (pavement signage for example).
  • To coordinate the shipping of artworks, organise insurance, support venues with installation plans, manage the installation and coordination of off-site works and temporary venues, including staffing during the festival period.
  • To provide advice and support to the emerging curator group (five individuals) to help them develop and deliver their individual projects during the festival.
  • To recruit and manage a team of volunteers to support the delivery of the festival. Devise and manage a programme of training for volunteers, produce a volunteer ‘code of practice’ and manage volunteer deployment.
  • To manage the effective running of festival administration, including organising, attending and minuting meetings, email and online (Dropbox) filing systems.
  • To implement effective systems for evaluation including audience data, feedback and event audits. To submit all final evaluation documents at the end of the festival period.
  • To manage the festival budgets and provide financial reports where necessary. Administer petty cash and volunteer/artist expenses.
  • To plan, organise and manage the launch event including venue, press, tours, preview, artist dinner and after-party.
  • To raise additional funding and sponsorship to ensure the effective delivery of the festival (A number of funding bids - including Arts Council - have already been developed and submitted). Act as the main contact between funders and provide all necessary documentation and evaluation documents as stated in funding agreements.
  • To work closely with venues and partners to consider issues of access and ensure optimum access for all audience members to festival events. To collate risk assessments and Health and Safety audits carried out by venues.
  • To develop future fundraising strategies and develop funding bids to ensure the continuation of Art Sheffield.

Person Specifications
Essential 

  • Have demonstrable interest and knowledge of contemporary visual arts
  • Have demonstrable experience of project management / event co-ordination and managing staff
  • Have experience of working on arts events or festivals
  • Have experience of fundraising
  • Have experience of managing budgets
  • Be computer and web-literate
  • Have excellent communication skills - both spoken and written
  • Have imagination and the ability to work creatively
  • Be resourceful, level-headed and able to work under considerable pressure
  • Be passionate about creating exciting events which reach out to a range of audiences

Desirable

  • Experience in marketing and PR
  • HTML literate
  • Driving licence
